    JOB SUMMARY

    NOTE:  This is a FLEX Associate Engagement  

    Position type: Full-Time

     

    The Executive Administrative Assistant provides comprehensive administrative support to Vice Presidents and IT department staff. Duties include calendar management, travel coordination, handling confidential information, and serving as a resource for internal policies and procedures. The role requires strong organizational skills, discretion, and the ability to manage multiple tasks effectively.

     

    Role Responsibilities/Duties:

    • Answer departmental telephone lines, addressing routine inquiries and directing calls appropriately.
    • Arrange travel, evaluating options and managing logistical details.
    • Manage calendars for Vice Presidents, scheduling meetings and coordinating appointments.
    • Coordinate meetings, including arranging rooms, equipment, and catering.
    • Consolidate and post information to the department's TeamShare site and other communications channels.
    • Provide alternatives and solutions for unique and recurring assignments.
    • Compose correspondence and documents on behalf of supervisors.
    • Research complex questions and problems related to departmental policies and procedures.
    • Process expense reports and provide administrative support for business purposes and team expenditures.
    • Coordinate visits and meetings with vendors and external consultants.

     

    Qualifications:

    • 5+ years of experience in an administrative assistant role.
    • Undergraduate degree or equivalent experience.
    • Strong working knowledge of Microsoft Office Suite 2010, including Outlook, Word, Excel, and PowerPoint.
    • Familiarity with Marriott internal work-enabling systems (PeopleSoft AP, MarrExpress, Cliqbook, Mosaic, Request Center, etc.).
    • Experience with TeamShare Site administration.
    • Basic department budget accounting experience.
    • Excellent customer service, interpersonal, and communication skills.
    • Ability to prioritize tasks and manage multiple projects simultaneously.
    • Knowledge of Marriott corporate culture, resources, and organizational structure.
    • High level of discretion and judgment.
    • Ability to work independently and collaboratively with peers.

    • Verbal Communications: Proficiency in communicating verbally in response to requests for information.
    • Functional Knowledge: Understanding of job functions, department operations, and administrative policies and procedures.

    • Level of Independence: Ability to work autonomously with minimal supervision.
    • Computer Software Skills: Proficient in various computer software applications required for the role.
    • Research and Analysis: Capability to conduct basic research and analyze data.
    • Prioritizing Workload: Skill in prioritizing workload and managing projects efficiently.
    • Administrative Processing: Competence in performing administrative functions such as payroll, accounts payable, expense reporting, and budget support.
