    JOB SUMMARY

    NOTE:  This is a FLEX Associate Engagement  

    Position type: Full-time

     

    The Executive Administrative Assistant provides comprehensive support to the Snr Vice President, Global Design US & Canada, facilitating administrative operations and contributing to departmental objectives. This role involves managing complex administrative tasks, coordinating events, and serving as a resource for internal policies and procedures, with a focus on confidentiality and sensitive material handling.

     

    Role Responsibilities/Duties:

    • Respond to inquiries and provide standard information regarding administered programs and routine details.
    • Coordinate departmental events, including logistical arrangements and communication efforts.
    • Manage calendars, appointments, and meeting schedules for department SVP, evaluating alternatives as necessary.
    • Assist with meeting planning, agenda development, and follow-up on action items for leadership meetings.
    • Maintain department events calendar and resource site, managing office supplies and inventories.
    • Process data through administrative systems, such as expense reports and personnel data, performing necessary research and follow-up.
    • Compose various correspondence and documents, often on behalf of the supervisor, directed towards internal and external stakeholders.
    • Support tracking, management, and organization of department inventory and electronic documents.

     

    Qualifications:

    • 2 or 4-year degree in Business Administration, Hotel and Restaurant Management, or related field, or equivalent work experience.
    • Understanding of core administrative processes including calendaring, drafting communications, and managing expense reports.
    • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
    • Ability to quickly establish and maintain relationships with administrative/support staff and department leaders.
